This role requires an individual with exceptional organizational skills, discretion, and the ability to manage high-level communications and workflows within a fast-paced and evolving environment. The ideal candidate will act as a trusted liaison between the Deputy CEO and internal/external stakeholders, manage executive communications, oversee complex scheduling, and assist in business operations, investor relations, and high-profile projects. This position requires strong analytical thinking, problem-solving abilities, and a high level of professionalism, ensuring that the Deputy CEO’s time is effectively managed and that critical business initiatives are well-supported. JOB RESPONSIBILITIES: Executive Support & Strategic Coordination Manage the Deputy CEO’s calendar, ensuring seamless scheduling of meetings, travel, and key engagements while prioritizing high-value activities. Oversee all incoming and outgoing communications (emails, calls, memos), filtering, drafting, and responding on behalf of the Deputy CEO while maintaining strict confidentiality. Prepare and coordinate high-level executive meetings, investor presentations, board reports, and briefing materials for internal and external engagements. Anticipate business needs and proactively coordinate across teams to ensure timely follow-ups, action tracking, and project execution. Serve as a point of contact between the Deputy CEO and key stakeholders, including government officials, business partners, investors, and internal leadership teams. Ensure smooth coordination and execution of strategic partnerships, investment deals, and cross-functional business priorities. Assist in facilitating discussions, preparing background materials, and ensuring effective documentation of key meetings and business negotiations. Project Management & Business Operations Support Support the Deputy CEO in overseeing key business projects and strategic partnerships, ensuring timely execution and alignment with corporate goals. Work across departments and business units, including finance, legal, and operations teams, to support deal execution, investment assessments, and corporate governance processes. Conduct research, compile reports, and provide insights on market trends, regulatory updates, and competitor analysis as needed. Administrative & Travel Management Oversee organization for travel logistics, visas, accommodations, and itineraries for domestic and international trips. Oversee expense reporting, financial reimbursements, and budget tracking for executive-related expenditures. Handle confidential documentation, legal contracts, and corporate agreements in coordination with relevant departments. Confidentiality & Professionalism Manage highly sensitive information with discretion, ensuring data security and proper handling of classified business discussions. Represent the Deputy CEO in a highly professional manner in all engagements, both internally and externally. JOB REQUIREMENTS: Bachelor’s degree in Business Administration, Finance, Law, Communications, or a related field (preferred). 5+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting C-suite or senior leadership in corporate or investment environments. Cultural fluency in Chinese business environments is required. Prior experience in real estate, investment, or private equity industries is advantageous. Ability to manage multiple tasks, projects, and priorities with efficiency and accuracy. Proactive mindset in addressing business challenges and ensuring smooth operational execution. Ability to build and maintain relationships with high-profile executives, investors, and government entities, especially in cultural Chinese environments. Strong ability to draft executive reports, presentations, and confidential correspondence. Strong grasp of investment, deal structuring, and corporate governance processes. Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), project management tools, and communication platforms.
