Description Administrative Executive (Up to $4,800 | 12-month contract) Friendly, organised, and detail-oriented? We’re hiring an Administrative Executive to keep the Technical Architecture Forum (TAF) running smoothly — scheduling, tracking actions, maintaining documents and portals, and supporting related admin tasks across the division. Location: Mapletree Business City, 10 Pasir Panjang Road, #10-01, Singapore Contract: 12 months Salary: Up to SGD 4,800 / month (final offer dependent on experience) Key Responsibilities Schedule and organise TAF presentations and agendas; manage presenter slots. Coordinate TAF meetings and attendance: send invites, keep meeting templates up to date. Track TAF topics, outstanding actions and follow-ups; issue offline tracking where needed. Finalise TAF minutes incorporating presenter input and distribute minutes. Maintain TAF documentation and artefacts (slides, trackers, meeting records). Produce monthly management reports summarising TAF topics and actions. Manage TAF portals for slot bookings and slide uploads. Provide general administrative support to the division leadership as required. Act as meeting secretary for a rotating weekly Group forum (one quarter/year rotation): take and prepare minutes for review/approval. Compile and circulate monthly reports. Book rooms for the team weekly meetings. Manage the monthly billing report (acknowledge & forward to billing). Process renewal requests for access via the online portal (request approvals, submit applications). Assist with uploading timesheets for augmented staff to the portal. Monitor monthly Azure cloud spend and notify the responsible officer. Request and disseminate monthly reports from Microsoft. Specific Requirements Diploma: minimum 10 years relevant working experience; OR Bachelor’s degree: minimum 6 years relevant working experience. Strong meeting coordination & minute-taking experience. Excellent written communication — clear, accurate meeting minutes and status updates. Proficient with document management and collaboration portals (uploading, access control, slot booking). Comfortable working with multiple stakeholders and tracking action items to closure. Solid MS Office skills (Word, Excel, PowerPoint) and familiarity with scheduling tools and web portals.
