Job Description:
We are seeking a skilled and organized individual to join our team as an Executive, Assessment. This role is responsible for providing support to the Academic Standing and Assessment Committee (ASAC) in ensuring accuracy of students' assessment results and timely issuance of result slips and award certificates/transcripts.
The successful candidate will be responsible for preparing assessment papers for the Faculty and safe-keeping of assessment records after ASAC. Additionally, they will manage relevant LMS functions used by the department to carry out daily functions efficiently, such as creating/editing intakes, Grade Book & Report templates.
Key Responsibilities include:
- Assisting in issuing assessment papers to Faculty according to Standard Operating Procedures (SOP).
- Receiving ASAC documents submission from Faculty according to SOP.
- Processing ASAC documents accurately and on time for ASAC approval.
- Issuing student Result Slips within 30 days from the last date of assessment.
- Creating and sending ASAC agenda on time.
- Submitting ASAC meeting minutes to chair and members on time.
- Working closely with Faculty in the student Re-Assessment process.
- Assisting in submitting assessment records in SkillsConnect system within 30 days from the last date of assessment for e-Cert generation.
- Supporting other departments in timely and accurate submission of WDA's Letter of Offer (LOO) report.
- Efficiently processing students or alumni requests, such as certification letters, re-print of academic Transcripts, verification of student records, and other related academic records requests.
- Managing and archiving assessment records according to SOP.
- Regularly updating Assessment Department's matrices to monitor due dates and track pending results for ASAC processing.
- Regularly reviewing departmental SOPs to ensure currency and relevance.
- Accurately checking students' results to produce academic results for ASAC approval.
- Effectively taking ASAC meeting minutes.
- Accurately submitting students' information in SkillsConnect system for e-Cert generation.
- Safely keeping assessment records before archiving due date.
- Understanding team dynamics through cross-training to support departmental goals.
- Practicing 1+3 ideology for efficient results production.
- Understanding organizational dynamics to identify and address issues with the right person.
- Continuously learning for personal proficiency.
- Demonstrating teamwork and supporting other departments for successful outcomes of Academy internal and external events.
- Supporting Assessments for Partnership programs.
- Supporting Admission, Curriculum, and Partnership Programs as required by the Department.
Required Skills and Qualifications:
- Possessing a Diploma in Business Administration or equivalent.
- Having a minimum of 2 years' working experience, preferably in an administrative position and/or in Education Industry.
- Able to handle sensitive and confidential information discreetly.
- Excellent command of both spoken and written English.
- Good planning and organization skills.
- Working independently with minimal supervision.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office applications and other tools to improve productivity and process administration.
- Team player who understands team dynamics and builds relationships.
- Learns from others and capitalizes on their strengths.
