We are seeking a detail-oriented and proactive individual to oversee fund administration, operations, and risk management functions as a key contributor to our team.
Role OverviewThe Head of Operations will play an essential role in monitoring portfolio performance, ensuring accurate trade execution, managing liquidity, and supporting investor reporting. This role requires a keen understanding of fund operations, compliance, and reconciliation practices to maintain the integrity and efficiency of our processes.
Key ResponsibilitiesTrade Execution and Settlement
Manage the timely and accurate execution and settlement of all trades.
Liaise with brokers, custodians, and counterparties to oversee trade confirmations, reconciliations, and maintain comprehensive trade records.
Cash Flow & Liquidity Management
Monitor and manage cash flows to ensure sufficient liquidity for fund operations, investments, and investor redemptions.
Conduct regular reconciliations between cash flow reports, bank accounts, and investment accounts, and monitor upcoming settlements and dividends.
Fund Administration
Oversee investor subscriptions, redemptions, and calculate the Net Asset Value (NAV) of the fund.
Maintain accurate records of portfolio transactions, holdings, and investor activity.
Reconciliation
Perform daily, weekly, and monthly reconciliations of portfolio holdings, cash positions, and trade activities.
Ensure data accuracy by coordinating with custodians and external fund administrators.
Investor Reporting
Work with the finance team to prepare and distribute regular investor reports, including NAV statements and performance summaries.
Manage communication with investors regarding operational inquiries and account maintenance.
Regulatory Compliance
Work with service providers to ensure compliance with Singapore’s regulatory framework, including the Monetary Authority of Singapore (MAS) requirements and the Securities and Futures Act (SFA).
Oversee compliance with international regulations that may apply to the fund (e.g., FATCA, CRS).
Internal Policy Management
Develop, implement, and monitor internal compliance policies, including the code of ethics, conflict of interest policies, Standard Operating Procedures, and trading restrictions.
Ensure all staff are regularly trained on compliance and regulatory issues.
OthersOther ad hoc tasks that management might require, including administrative tasks.
QualificationsBachelor’s degree in finance, accounting, or related field; CPA, CFA, or relevant certifications preferred.
At least 5 years of experience in fund administration or operations within a fund management or investment firm focusing on Public & Private Equities and derivatives.
Excellent organizational skills, attention to detail, and the ability to collaborate with internal and external stakeholders.
Familiarity with fund administration software and systems is a plus.
