Job Overview
We are seeking a highly organized and efficient Executive Assistant to support our senior leadership team.
The ideal candidate will have excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.
Key Responsibilities:
- Manage the diary, business schedules & calendar, including arranging meetings, conference calls & booking appointments.
- Organize incoming information and keep abreast of all priorities & events.
- Schedule & Coordinate meetings both internally & externally, including logistics, hotel requirements, preparation of meeting material, etc.
- Arrange and coordinate conference calls.
- Travel: Organize domestic and international travel arrangements, including booking flights and accommodation as well as preparing agendas if necessary.
- Arrange for Visa for the Senior Team.
- Prepare overseas travel itineraries – flights, hotel, transfers, visas.
- Process expense claims.
- Handle confidential documents.
- Handle internal and external queries and coordinate responses/information from across the team.
- Maintain a database of all contacts and cards.
- Create & maintain filing system for personal & confidential files of the CEO.
- Receive visitors, arrange conference calls, and schedule meetings.
- Assist Clients with hotel and car booking as needed.
Requirements:
The right candidate should be a Graduate with minimum 3-5 years of relevant experience. Must be able to hit the ground running, with the ability to get things done speedily by using appropriate strategy given a particular challenge.
Speed and accuracy in execution of all tasks are essential. The ideal candidate should be a positive-minded, proactive, highly motivated, team player with excellent communication and organisational skills.
Expertise in Excel, PowerPoint, Word, Outlook is required.
Work Details:
Job Location: Raffles Place.
Work Week: Mon - Fri.
Salary Range: $ (open for negotiations).
