The ideal candidate will possess exceptional knowledge of clinic services, procedures, billing processes, and various insurance coverages to ensure seamless transactions. They will also be proficient in managing and troubleshooting electronic medical records (EMRs) and medicine systems.

Responsibilities:

The successful candidate will be responsible for:

  • Oversight of clinic operations, including development and implementation of policies, procedures, and systems to optimize patient flow and enhance customer satisfaction;
  • Monitoring compliance with established standards and work processes;
  • Management of facility maintenance, cleanliness, and overall ambiance;
  • Preparation and updating of monthly duty rosters;
  • Maintenance and update of policy and procedure manuals;
  • Ensuring team members adhere to superior customer service principles;
  • Addressing and resolving complaints from team members, visitors, patients, and physicians;
  • Monitoring and ensuring timely responses to patient inquiries via email and LINE;
  • Practice sound decision-making, effective problem identification, and conflict resolution;
  • Regularly collecting and reviewing operational data, variances, incidents, and issues;
  • Reporting feedback on operations and projects to Management using HORENSO;
  • Knowledge of legal issues in clinic operations and ensuring compliance with regulatory agencies;
  • Upholding patient rights and confidentiality;
  • Leading team meetings;
  • Coaching and mentoring team members;
  • Maintaining personal effectiveness under pressure;
  • Inspiring confidence and motivation within the team;
  • Participating in interviewing new hires;
  • Orienting new team members to the organizational philosophy, goals, vision, and Employee Handbook;
  • Ensuring new team members acquire job competencies by providing a conducive learning environment;
  • Monitoring team members' attendance and performance;
  • Conducting annual performance evaluations and maintaining performance notes every six months;
  • Counseling team members for poor performance;
  • Recommending disciplinary actions to management when necessary;
  • Setting goals with team members for performance improvement, including action plans, time frames, and follow-up;

Education Requirements:

  • A Bachelor's Degree is typically the minimum requirement; strong preference for degrees in Healthcare Administration, Business Administration, Nursing, Public Health, or a related field;
  • A Master's Degree (e.g., Master of Healthcare Administration (MHA), Master of Business Administration (MBA) with a healthcare focus, or Master of Public Health (MPH)) would be a significant advantage, particularly for career progression and managing more complex operations.
