Key Responsibilities:
Support Procurement Team
Collaborate closely with the Procurement Manager or team to support the effective and seamless operation of the procurement process.
Ensure adherence to procurement policies, procedures, and relevant regulations.
2. Documentation and Record Keeping:
Maintain accurate and up-to-date records of procurement transactions, including purchase orders, contracts, and vendor information.
Organize and file procurement-related documents for easy retrieval and reference.
3. Purchase Requisition and Order Processing:
Collaborate with departments to clarify specifications, quantities, and delivery requirements.
Assist in the creation and issuance of purchase orders.
Monitor and track the status of purchase orders to ensure timely delivery.
Communicate with suppliers regarding order status, delivery schedules, and any issues that may arise.
4. Inventory Management:
Assist in the preparation and distribution of consumables to the respective households.
Maintain accurate and up-to-date records of inventory transactions, including receipts, issues, and adjustments.
Conduct routine physical inventory audits to reconcile recorded stock levels with actual on-hand inventory; investigate and rectify discrepancies as needed.
Vendor Management:
Manage relationships with external vendors, contractors, and service providers.
Negotiate contracts and agreements for maintenance services.
Liaise with vendors to obtain quotes, negotiate terms, and facilitate the procurement process.
Qualifications:
Relevant educational background in supply chain management or a related field.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficient in Microsoft Office.
