JOB SCOPE Establish and maintain document control procedures and systems in compliance with company and client requirements. Receive, log, and track all incoming and outgoing documents (engineering drawings, vendor data, correspondences, specifications, etc.). Assign document numbers and maintain an accurate, up-to-date document register. Ensure timely distribution of documents to internal departments, vendors, and clients as per the document distribution matrix (DDM). Check and verify document formats, revisions, and metadata before issuing. Maintain a systematic filing structure for both electronic and hard copy documents. Coordinate with engineering, procurement, construction, and quality departments to ensure proper documentation flow. Handle vendor document submissions, review status tracking, and ensure required approvals are obtained on time. Generate document transmittals (SDRL, VDRL) and issue documentation to clients. Monitor overdue documents and follow up with responsible parties to maintain schedule compliance. Support audits by providing accurate document status and retrievals when requested. Archive project documentation in accordance with company and contractual requirements at project close-out. SKILL REQUIREMENTS Educational Requirements: Associate's degree or above, with preference given to candidates majoring in engineering management, secretarial studies, information management, or a related field. Experience Requirements: At least 2 years of experience in document control or document management; Experience in oil and gas, engineering construction, or EPC projects is preferred; Familiar with engineering drawings, supplier documents, and procurement data management processes. Skills Requirements: Familiar with document control processes, version control, and document distribution matrix (DDM); Proficient in document management systems (such as Aconex, ProArc, SmartPlant Foundation, SharePoint, EDMS, etc.); Understand SDRL/VDRL document
