Job Description

We are seeking a skilled Sales Administration professional to join our team. In this role, you will be responsible for supporting the sales cycle from order processing to customer service, ensuring smooth coordination between clients, sales teams, and operations while complying with security regulations.

Your primary focus will be on providing exceptional administrative support to our sales teams, handling client inquiries, and maintaining accurate client details in systems. You will also be responsible for coordinating delivery timelines with our operations/technical team and handling administrative matters such as billing, contract renewals, and service requests.

In addition, you will assist our Business Development Director in preparing proposals, quotations, and tender submissions. This will involve tracking tender deadlines, required documents, and submission compliance. You will also support our BD Executives on all administrative work related to pricing, formatting, and documentation for tenders and bids.

Another key aspect of this role is generating sales reports, revenue forecasts, and performance dashboards for management. You will need to ensure all data accuracy for audits and compliance with security industry regulations and company policies.

This role requires a strong attention to detail and excellent organizational skills. You should be able to maintain proper filing of contracts, NDAs, and compliance-related documents. Additionally, you may be required to support licensing requirements or background checks for projects if needed.

You will work closely with our Business Development Director and Finance team, communicating project or delivery updates to stakeholders. Organizing and filing sales documents, contracts, and correspondence will also be part of your responsibilities.

Required Skills and Qualifications

  • Product Knowledge: Basic understanding of security systems, manpower security services, and compliance standards (e.g., MOM licensing in Singapore, PDPA, security clearances).
  • Confidentiality: Handling sensitive client/site information securely.
  • Regulatory Awareness: Familiarity with security tenders, government regulations, and certifications.
