Our client, a well-known company, is looking for candidates for the position of
Freight Operations Specialist.
SUMMARY
The Freight Operations Specialist will support the Shipping and Freight Desk in managing the full spectrum of operational aspects of chartering vessels for the transportation of traded commodities, with the objective to achieve smooth operations of all own, voyage and time charter vessels and will liaise effectively and provide the highest quality of service to internal and external counterparties. The individual will be reporting to the Freight Manager.
Job Scope:
Shipping Operations (70%)
Responsible for end-to-end Post fixture for all the company voyage, time and period chartered vessels from the pre-fixture stage till voyage completion.
Oversee all operational matters for the managed vessel, ensuring compliance with charterparty agreements, loading and discharge operations, and voyage optimization to maximize efficiency and minimize cost.
Ensure the accuracy of voyage P&L, providing input for payment due to Owners and receivable from Charterers.
Issue voyage instruction to vessel master in accordance with the governing CP.
Appoint agents, weather routing services, order bunkers, and appoint surveyors.
Verify shipping documents such as pre-stowage plan, B/L, and LOI’s.
Handle claims in coordination with legal/P&I/lawyers.
Manage freight invoices, demurrage/despatch, laytime hire payment, and port disbursement and reconciliation of voyage results.
Maintain effective communication with ship owners, charterers, brokers, port agents, and other stakeholders to ensure smooth execution of operations and address any issues or concerns in a timely manner.
Monitor vessel movement and performance and report to related parties and any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance, etc., to communicate for settlement based on charterparty.
Coordinate with trade operations team regarding laytime settlement, NOR clauses, payment of hire/freight, etc.
Handle freight operations matters in terms of bunkers’ procurement, enquiry of port costs/restrictions, booking of grabs, sending of voyage instructions.
Monitor and analyze vessel performance metrics, including fuel consumption, speed, and cargo handling efficiency, to identify opportunities for operational improvements and cost savings.
Perform data entry for vessel's operation in IMO VIP system, Excel files, and other required platforms.
Maintain a database of vessel positions.
Prepare charter parties and other necessary fixture documentation, where required.
Act as the primary person in charge of all operational matters related to assigned vessels.
Review all the terms & conditions of the agreed contracts thoroughly, ensuring compliance with all requirements and fulfillment of obligations.
Risk Management (20%)
Provide support and advice to Front Office in contract review, revisions, and recommendations to minimize risk exposure.
Identify areas of transactions, financial risks, trade-related risks, or variances, ensuring these risks are addressed and mitigated effectively.
Collaborate with various departments to develop and implement amicable solutions.
Ensure all relevant documentation, including voyage instructions, laytime calculations, and demurrage claims, are accurately prepared and processed in accordance with industry regulations and company policies.
Identify and assess potential risks associated with vessel operations, such as weather conditions, port congestion, and regulatory changes, and implement appropriate risk mitigation strategies.
Compliance (5%)
Maintain privacy and confidentiality of information, protect the assets of the organization, report non-compliance, and ensure adherence to all applicable laws and regulations.
Adhere to internal control and compliance procedures.
Liaise with the Compliance team to review, update, and improve internal control processes on a timely basis.
Others (5%)
Perform any other tasks relevant to Freight and Shipping, (e.g., system testing) as may be assigned by the supervisor.
Requirement:
Bachelor's in Maritime, Logistics, or related discipline.
3-5 years of dry bulk freight chartering and operations required.
Experience in dry bulk shipping handling commodities such as coal, iron ore, bauxite, copper concentrate preferred.
Ability to comprehend maritime terms and to be able to arrange everything for the accomplishment of the voyage independently.
Good network in the dry bulk shipping community (Owners, Operators, Brokers, etc.).
Excellent knowledge of the dry bulk shipping market and technicality.
Ability to handle stress and manage multiple work tasks/enquiries.
Proficiency in industry-specific software and tools, such as chartering systems (e.g., IMOS), voyage optimization software, and Microsoft Office Suite.
Knowledge of international maritime regulations, industry best practices, and risk management principles.
