Job Overview
We are seeking a highly organized and proactive Sales Support Specialist/Office Manager to oversee and manage the daily administrative operations of our Singapore office. The ideal candidate will have a strong background in office management, excellent communication skills, and the ability to foster a positive and productive work environment. This role also involves supporting the sales team during the tender process, assisting with marketing activities, coordinating trade shows, and liaising with our headquarters in Orlando.
Key Responsibilities
Office Management:
• Ensure the smooth and efficient operation of the office, including facilities management, procurement of supplies, and coordination with external vendors.
Administrative Support:
• Provide comprehensive administrative support to the management team, including scheduling meetings, managing calendars, and handling correspondence.
HR Coordination:
• Assist with HR-related tasks such as recruitment, onboarding, maintaining employee records, and coordinating training and development programs.
Financial Management:
• Manage office budgets, oversee petty cash, and work with the finance team to ensure accurate expense reporting and adherence to financial policies.
Sales Support:
• Assist the sales team by collecting, organizing, and managing documents required for tender processes. Ensure timely submission of all necessary paperwork and compliance with tender specifications on the online website (Ariba; GeBiz; Sesami; ScanMArket) from our customers.
Marketing Support:
• Collaborate with the marketing team to assist in the promotion materials, and marketing campaigns. Coordinate marketing efforts with the HQ in Orlando to ensure consistency and alignment with company strategy.
Trade Show Coordination:
• Plan and coordinate trade shows in the region, including liaising with local contractors for booth design and setup, and managing logistics such as the transport of machines and equipment.
Event Planning:
• Organize and coordinate company events, meetings, and other activities, ensuring they run smoothly and within budget.
Communication Coordination:
• Act as a liaison between the Singapore office and headquarters in Orlando, ensuring effective communication and information exchange.
Compliance:
• Ensure compliance with local regulations and company policies, including health and safety standards.
Problem-Solving:
• Address and resolve any issues related to office operations, demonstrating a proactive and solution-oriented approach.
Qualifications
Education:
Bachelor's degree in Business Administration, Management, Marketing, or a related field.
Experience:
Minimum of 5 years of experience in office management or a similar administrative role, preferably in the aerospace or technology sector.
Skills:
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficiency in office software, including MS Office and relevant administrative tools.
• Knowledge of HR practices and local labor laws.
• Financial acumen with the ability to manage budgets and expenses.
• Familiarity with tender processes and document management.
• Experience in marketing support, including the creation of presentation materials.
• Ability to coordinate effectively with international teams.
• Experience in planning and coordinating trade shows, including logistics management.
