Bid Coordinator Job Opportunity

We are seeking a highly skilled and organized Bid Coordinator to join our team. The ideal candidate will have excellent communication skills, be able to work effectively in a dynamic environment, and possess a proactive mindset.

About the Role:

  • The Bid Coordinator will be responsible for collaborating with sector leads to verify Go/No-Go decisions for pursuits and ensuring that all relevant information is recorded and updated in CRM systems.
  • This role involves coordinating with regional bid teams to manage timelines, deliverables, and inputs for bids and tenders.
  • The successful candidate will track progress and ensure submission deadlines are met with high-quality proposals.
  • In addition, the Bid Coordinator will support the development of bid strategies including scoping, fee structuring, and team composition.
  • The ideal candidate will also compile and format bid documents, ensuring compliance with RFP requirements and brand standards.
  • Liaising with sector, design, and project leads to gather content and confirm technical details is an essential aspect of this role.

Key Responsibilities:

  • Coordination of Bid & Tender Processes
  • Collaborate with Sector Leads to verify Go/No-Go decisions for pursuits and ensure pursuits are recorded and updated in CRM systems.
  • Coordinate with regional bid teams to manage timelines, deliverables, and inputs for bids and tenders.
  • Track progress and ensure submission deadlines are met with high-quality proposals.
  • Proposal Strategy & Submission
  • Support the development of bid strategies including scoping, fee structuring, and team composition.
  • Compile and format bid documents, ensuring compliance with RFP requirements and brand standards.
  • Liaise with sector, design, and project leads to gather content and confirm technical details.

Pre-requisites and Preferred Qualifications:

  • Diploma in Business, Communications, Architecture, Engineering, or related field.
  • Minimum 5 years of experience in bid coordination, proposals, or tendering roles—preferably in the architecture, engineering, or construction industry.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe InDesign.
  • Experience with CRM and document management systems eg Airtable, Power BI is an advantage.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and ability to work under pressure.
  • Proactive, solution-oriented mindset.
  • Team player with a collaborative spirit.
  • Comfortable working in a dynamic, deadline-driven environment.
