Key Responsibilities

As an Administrative Executive at VIVA ENGINEERING PTE. LTD., you will be responsible for:
• Maintaining office supplies inventory and reordering items as necessary
• Managing office equipment and arranging for maintenance
• Coordinating appointments, meetings, and events for executives or senior management
• Handling incoming phone calls and emails, and responding in a timely manner
• Drafting and sending correspondence, including emails, memos, and reports
• Acting as the first point of contact for all communication within and outside the office
• Maintaining an organized filing system, both physical and digital
• Organizing travel arrangements, including flight bookings, accommodation, and itineraries
• Providing administrative support for ongoing projects, including scheduling tasks and tracking progress
• Assisting with recruitment activities, including scheduling interviews and onboarding new employees
• Maintaining and updating employee records and assisting with HR-related paperwork
• Greeting clients and visitors in a professional and friendly manner
• Assisting clients with inquiries and directing them to the appropriate departments or individuals

The ideal candidate will have excellent communication and organizational skills, be able to work independently, and possess a high level of discretion when dealing with confidential information.
