Job Title: Front Desk Support Specialist
About the RoleThe Front Desk Support Specialist plays a pivotal role in ensuring the smooth operation of our office. This highly skilled professional is responsible for providing exceptional support to the team, handling various administrative tasks, and maintaining a clean and organized work environment.
The Front Desk Support Specialist will be the first point of contact for visitors, answering phone calls, directing them to the relevant staff members, and managing the reception area efficiently.
- Administrative Tasks:
- Handle photocopying, typing, printing, and scanning duties
- Coordinate with IT to program telephone extensions and hunting/grouping services
- Prepare and serve drinks to visitors
- Attend to emails and respond promptly to inquiries
- Maintain accurate records, including staff movement reports, office directories, and mail management
- Manage passes issuance and records for staff and visitors
- Process orders for pantry supplies and ensure timely replenishment
- Other Responsibilities:
- Perform other duties assigned by management
To excel in this role, you must possess:
- Excellent Communication Skills: Ability to interact effectively with colleagues, visitors, and external partners
- Proficiency in Microsoft Office: Strong knowledge of MS Office applications, including Word, Excel, and PowerPoint
- Multitasking and Prioritization: Ability to manage multiple tasks simultaneously and prioritize tasks effectively
- Flexibility and Adaptability: Willingness to adapt to changing circumstances and priorities in a fast-paced environment
