Purchasing and Inventory Executive Role

As a Purchasing and Inventory Executive, you will play a pivotal role in ensuring the smooth operation of our inventory management system. Your primary responsibility will be to maintain accurate and up-to-date inventory levels, manage stock effectively, and ensure timely delivery of goods to customers.


Key Responsibilities:
  • Maintain accurate records of inventory levels, track stock movement, and address discrepancies promptly.
  • Monitor stock levels, reorder products in a timely manner to avoid stockouts or overstocking, and ensure proper storage and organization of products.

Inventory Management Tasks:
  • Monitor inventory stocks in warehouse and system, and prepare detailed reports on stock levels, movements, and audit findings.
  • Ensure that all inventory handling procedures comply with safety and regulatory standards.

Order Processing and Order Management:
  • Create purchase orders, update items into the system, and match items code and stock inventory against sales orders to ensure adequate supply before issuing delivery orders.
  • Generate delivery orders, liaise with the warehouse team to ensure timely delivery, and churn out invoices to the finance department for customer payment.

Receiving and Issuing Stock:
  • Oversee the receipt of goods, ensuring that products are properly documented, inspected, and stored in accordance with company procedures.
  • Coordinate the issuance of stock to destinations as required, ensuring that all transactions are properly documented and recorded.

Inventory Reporting:
  • Prepare daily, weekly, and monthly inventory reports summarizing stock levels, movements, and any issues, and provide insights into inventory trends and areas for improvement.
  • Update and maintain the inventory management system with accurate stock data, extract monthly sales reports from the system, and ensure compliance with internal processes.

Collaboration with Teams:
  • Work closely with procurement, sales, and operations teams to ensure smooth inventory operations and timely stock availability.
  • Assist in coordinating product returns, transfers, and deliveries to customers, and collaborate with other departments to achieve business objectives.
