Job Description:

The Ocean Freight Operations Specialist plays a crucial role in coordinating and organizing ocean freight operations. This individual will handle various types of shipments, including FCL, LCL, and Consol, ensuring timely and accurate execution.

Responsibilities:
  • Verify bill of lading documents to prevent mistakes and misunderstandings.
  • Maintain strict adherence to on-time KPIs for efficient cargo release.
  • Provide clear explanations to customers regarding procedures and protocols.
  • Ensure prompt resolution of customer escalations.
  • Avoid delays in customs applications by submitting physical documentation or utilizing online procedures.

Customer Service:
  • Assist customers during the booking stage.
  • Monitor and complete performance reports according to customer requirements.
  • Serve as the primary contact point between customers and sub-contractors.
  • Evaluate quotation validity before handling shipments and collaborate with sales teams if rate extensions are necessary.
  • Update shipment status as per customer demands.
  • Cross-trade shipments smoothly, ensuring effective communication, instructions, and billing among involved parties.

KPI Adherence and Operational Efficiency:
  • Continuously monitor and set up milestones/status codes accurately.
  • Meet timeframe KPIs for adding new contacts in operational systems.
  • Create finance-related documents, such as Accounts Receivable and Accounts Payable.
  • Closing jobs on time within operational systems.

Documentation Management:
  • Maintain timely receipt of correct and sufficient documents.
  • Archive documentation into job files prior to vessel arrival.
  • Avoid postponed shipments due to document deficiencies.
  • Meet KPIs for documentation collection, completion, and submission.
  • Monitor payments to creditors and debtors without notifications or reasons from accounting.
  • Manage relevant documentation for filing, ensuring mandatory documentation is present in respective files.

Required Skills and Qualifications:
  • Familiarity with local and international freight services and customs policies.
  • Proficiency in industry-standard programs and ability to operate relevant systems.
  • Excellent English communication skills (verbal and written).
  • Strong customer service mindset.
  • Analytical and data-driven approach.
  • Ability to quickly grasp processes.
  • Independent self-starter, well-organized, detail-oriented, and multi-tasking with excellent time management skills.
  • Good team player.
  • Professional working attitude.
  • Proficient in MS Office applications.
