We are seeking a highly motivated and detail-oriented Administrative Assistant cum Accounts Clerk to join our team at Probuild Solutions Pte. Ltd. As an Administrative Assistant cum Accounts Clerk, you will be responsible for providing administrative support to our operations team and assisting with accounting tasks.
Key Responsibilities- Issue and manage daily orders, ensuring all information is accurate and meets customer requirements.
- Manage office cleanliness and answer office phone calls.
- Act as the first point of contact for customer inquiries, informing relevant teams and preparing quotations as needed.
- Prepare collaterals for sample submissions and manage online platforms.
- Input accounting entries into our SQL Accounting System and verify sales and purchase invoices.
- Monitor accounts receivable, send out statements of account, resolve discrepancies, and follow up with customers for payment.
- Monitor accounts payable and prepare payment vouchers for management approval.
- Update bank books, monitor cash flow, and forecast cash needs to ensure healthy operations.
- Handle petty cash and pay off daily expenses.
- Assist the Finance Manager with bank reconciliations, monthly account closures, and quarterly GST reporting.
- Routine review of vendors' quotations to ensure cost optimization without compromising service quality.
- Generate ad hoc reports, data analysis reports, and presentation slides as requested by management.
- Maintain and improve our filing system for all documentations.
- Provide additional support to office and operations functions as instructed.
- Minimum Diploma in Business, Finance, Accountancy, or Banking, or equivalent professional qualification.
- Strong administrative skills.
- Highly motivated with a desire to learn.
- Able to meet deadlines and work effectively under pressure.
- Computer literate, with proficiency in Microsoft Excel and Google Workspace preferred.
- Observant, meticulous, analytical, and a team player.
