Operations Executive

We are seeking a highly skilled Operations Executive to handle export/import documents, coordinate with port inspectors/ship brokers, and ensure smooth loading and discharging of shipments.

Main Responsibilities:

  • Prepare and vet sales/purchase contract documents and other trade/shipping paperwork
  • Coordinate with port inspectors/ship brokers to facilitate smooth loading and discharging of shipment
  • Track status of vessel arrival to determine compliance with the contract delivery period
  • Laytime calculations
  • Monitor and follow up on payments
  • Liaise with stakeholders on shipping related matters and resolve any contract issues and disputes
  • Maintain records of contracts and shipment schedules
  • File contracts and other shipping records neatly and correctly
  • Prepare reports for use by management
  • Assist in developing a knowledge-management database and reviewing work processes for improvement

Requirements:

  • Bachelor's degree in Business, Supply Chain Management, International Trade, or a related field from a reputable university
  • At least 1-2 years' working experience in operations, preferably in commodity or international trading
  • Good spoken and written communication skills in English and Mandarin (required to communicate effectively with China Office)
  • Effective communication, negotiation, and problem-solving skills
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
