The Asian School of the Environment seeks a highly motivated and organized individual to fill the position of Operational Efficiency Specialist.
In this role, you will be responsible for managing onboarding and offboarding processes, analyzing and reviewing school operations, and leading transformation efforts.
You will also serve as main contact for Data Protection (PDPA) and Emergency Response Management (ERM), oversee Business Continuity Process (BCP), and coordinate with RSO, PIs, and stakeholders to develop strong proposals.
Key Responsibilities:Manage onboarding and offboarding processes for non-staff members, empowering team to execute tasks effectively.
Analyze and review school operations regularly to ensure alignment with University's direction.
Lead transformation efforts as required by school.
Provide financial insights and strategic advice to support business planning and decision-making.
Guide and develop team members while cultivating positive work environment.Collaborate with leadership, Human Resource Business Partner, and Finance Business Partner on annual budgeting process. Lead budgeting and forecast reporting, overseeing preparation, monitoring, and management of funds.
Coordinate with RSO, PIs, and stakeholders to develop strong proposals and advise on grant requirements, budget preparation, and submission.
Manage research-related agreements, including Contract for Service (CFS) and Memorandum of Understanding (MOU), in coordination with Associate Chairs, PIs, research administration team, and Academic Team.
Coordinate and manage delegation visits to achieve objectives and productive exchanges.Serve as main liaison for school in all data management matters, including data extraction, compilation, analysis, and reporting.
Provide regular reports on KPI status for various projects, ensuring alignment with School and University targets.
Help transition school administration to cutting-edge efficiencies afforded by Generative AI and other tools.
Requirements:
- Bachelor's degree with minimum 8 years of relevant experience, including at least 4-5 years as People Manager, ideally within educational or academic setting.
- Experience in process improvements to enhance operational efficiency and internal capacity.
- Experience in grants administration and budgeting with solid understanding of financial management in research settings.
- Proven track record in teams management, budget management, and finance oversight.
- Proficient in data analysis, able to consolidate and interpret data.
- Proficient in MS Office Suite (Excel, Word, PowerPoint, etc.).
- Strong critical thinking skills, providing guidance and inputs on grant policy and administration.
- Ability to work well with diverse team in dynamic working environment.
- Strong communication skills.
- Able to work within tight timelines.
