We are seeking a highly skilled and organized individual to join our team at GLAMOUR BEAUTY MAISON PTE. LTD. as an Office Coordinator cum Administrative Support.
About the RoleThe successful candidate will be responsible for ensuring the smooth day-to-day operations of our office, providing administrative support to our management team, and maintaining a high level of customer service.
Key Responsibilities:- Front Desk Operations: Manage incoming calls, emails, and messages, responding promptly and professionally to all inquiries.
- Scheduling and Coordination: Schedule appointments, meetings, and events with clients, staff, and stakeholders, ensuring seamless coordination and communication.
- Patient Database Management: Update and maintain accurate patient records using our client management software, ensuring data integrity and security.
- Customer Service: Handle customer concerns and provide effective solutions, ensuring high levels of satisfaction and loyalty.
- Inventory and Stock Management: Conduct regular inventory checks, manage stock levels, and perform ad-hoc tasks related to media and advertising.
- Administrative Support: Provide comprehensive administrative support to our management team, including tasks such as data entry, document preparation, and filing.
To succeed in this role, you will need:
- Excellent Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with clients, staff, and stakeholders.
- Organizational Skills: Proven ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
- Technical Skills: Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as experience with client management software.
- Customer Service Skills: A strong customer-focused mindset, with a passion for delivering exceptional service and ensuring high levels of customer satisfaction.
- Adaptability and Flexibility: Ability to adapt quickly to changing priorities, workloads, and deadlines, while maintaining a flexible and positive attitude.
