Job Title: Human Resource Optimization Specialist

This role requires an individual who can support the HR team in delivering efficient and effective services. The successful candidate will be responsible for contributing to the maintenance of a systematic and compliant work environment.

Key Responsibilities:
  • HRMS Management: Support the implementation, management, and optimization of HRMS to streamline processes and improve user experience.
  • Document Scanning and Management: Scan physical employee personnel files, upload, categorize, and file them accordingly. Ensure all documents are scanned in the correct order and format.
  • Data Compliance: Ensure compliance with regulatory requirements and organizational policies in HR data management and digitalization workflows.
  • Regular Reviews: Conduct regular reviews and upgrades of HRMS to ensure it meets the evolving needs of the organization.
  • Database Entry: Enter necessary data and information related to scanned documents into the HR database.
  • Digitalization Strategy: Align HR digitalization strategies with the broader organizational goals and workforce planning.
  • Project Support: Provide support for HR projects and initiatives related to document management and digitalization.
  • Data Maintenance: Develop and implement best practices for data maintenance within the HRMS to ensure data accuracy and seamless operational workflows.
  • Confidentiality: Maintain confidentiality and security of all employee records.
  • Document Quality: Verify the quality and clarity of scanned documents.
  • Paperless Environment: Facilitate the transition from paper-based to electronic records, enhancing accessibility, security, and efficiency in employee information management.
  • Document Indexing: Index and categorize scanned documents accurately within the digital document management system.
  • Record Updates: Update and maintain accurate records of all scanned files.
Payroll Responsibilities:
  • Employee Records: Create and maintain employee records in the payroll system and ensure that changes are entered correctly and updated on a timely basis.
  • Overtime Input: Date entry overtime input.
  • Ad-hoc Duties: Assist in other ad-hoc duties as assigned by the immediate supervisor or HOD.
Additional Responsibilities:
  • Uniform Inventory: Maintain up-to-date records of uniform stock and inventory levels.
  • Uniform Issuance: Coordinate the issuance and packing of uniforms for new and existing staff.
  • Uniform Tracking: Track uniform sizes, distribution, and returns.
  • Staff Accommodation: Maintain updated records of staff dormitory assignments and occupancy.
Requirements:
  • Educational Qualification: Diploma in Human Resources, Business Administration, or a related field.
  • Experience: Experience in HR transformation, HRMS management, or related roles, with a focus on digitalization initiatives.
  • Process Improvement: Proven experience in process improvement methodologies and project management.
  • Skillset: Strong interpersonal and communication skills.
  • Personal Traits: Self-driven, outgoing, and dynamic personality and disposition.
  • Work Environment: Ability to work independently and collaboratively in a fast-paced environment while managing multiple priorities.
