
Office Workflow Specialist

The Workforce Coordinator plays a pivotal role in delivering exceptional customer service at the front desk by streamlining office administration workflow across various areas. This includes reception, general office services administration, hospitality, copy, mail services, intake, and facilities.
Key Responsibilities Include:
- Providing top-notch support to clients with complex tasks, such as high-volume requests or expansive administrative needs.
- Ensuring outstanding client service while fostering strong relationships.
- Escalating operational issues promptly to senior staff members.
- Maintaining accurate reports on schedule.
- Offering job intake services as directed by management.
- Effectively reading, interpreting, and understanding all requests (emails, phone calls, in-person, and forms).
- Communicating job or deadline concerns with managers and clients.
- Conducting quality assurance processes to ensure efficient workflow and client satisfaction.
- Maintaining an up-to-date knowledge of standard operating procedures.
- Loading copiers with paper and toner as needed.
- Managing logs and reporting documentation as required.
- Additional duties may include setting up conference rooms, handling mail and messenger services, food and beverage services, assisting with reception coverage, managing multiple phone lines, visitor check-in, and adhering to company policies.
To succeed in this role, applicants should possess:
- A high school diploma or equivalent.
- A minimum of three years' experience in office services, preferably in a legal, banking, or large corporate environment.
- Experience in managing workflow efficiently to meet deadlines under pressure.
- Intermediate computer skills using Microsoft Office.
- Familiarity with procedures supporting service lines, such as reception, hospitality, mail, and copy services.
- Front-of-house focus with excellent communication skills.
- Demonstrated attention to detail, accuracy, and quality.
- Ability to handle sensitive and confidential documents and information.
- Exemplary work ethics, professionalism, and composure under customer interactions.
- Strong problem-solving skills with the ability to escalate issues to supervisors when necessary.
- Adaptability in a fast-paced environment and self-motivation with a positive attitude.
