Port Operations Coordinator

The Port Operations Executive plays a pivotal role in ensuring seamless vessel operations at the port. This position requires exceptional coordination skills to manage and execute all port call-related activities, guaranteeing efficient turnaround times, compliance with maritime regulations, and high-quality service delivery to stakeholders.
Key Responsibilities- Coordinate and arrange vessel arrivals and departures, including berth booking, pilotage, towage, and port documentation.
- Liaise with port authorities, terminal operators, customs, and immigration on behalf of the vessel.
- Maintain smooth communication with shipmasters and clients during port calls.
- Arrange for crew change, bunkering, fresh water, provisions, and other essential services.
- E nsure timely and cost-effective delivery of services.
- Respond promptly to operational issues, emergencies, or delays, providing regular updates to stakeholders.
- Prepare and submit necessary shipping documents (arrival/departure reports, cargo manifests, statements of facts, etc.).
- Assist in the preparation of disbursement accounts (D/As) and monitor third-party service invoices.
- Maintain accurate records of port activities and operational checklists.
- Foster strong working relationships with shipowners, charterers, port officials, and service providers.
- Provide timely updates and reports to principals.
- Cultivate professionalism and urgency when addressing vessel or principal inquiries.
- Ensure all operations adhere to established company Standard Operating Procedures (SOPs) and relevant maritime regulations.
- Participate in internal audits or external inspections as required.
- ITE/Diploma or Degree in Maritime Studies, Logistics, or equivalent.
- 1–3 years of experience in a similar operations role preferred; fresh graduates may be considered.
- No prior experience is also open to apply if keen to learn.
- Knowledge of port regulations, shipping documentation, and vessel operations.
- Strong communication and interpersonal skills.
- Able to work under pressure, including on-call or shift hours when vessels call.
- Proficient in Microsoft Office; familiarity with port or agency systems (e.g., Portnet, PSA, MPA) is an asset.
- A valid driving license is desired (for port/terminal visits).
