
Research Operations and Administrative Coordinator

This is an exciting opportunity to join our team as a Research Operations and Administrative Coordinator. The role will involve supporting the day-to-day operations of our centre, including research administration, education and training programs, and secretariat functions.
Job DescriptionThe successful candidate will be part of a dynamic team that supports the core functions of the centre. Their duties will include:
- Supporting researchers to draft, review, negotiate and execute research agreements;
- Liaising with leads and research staff to meet centre objectives;
- Providing administrative support and being a point of contact between faculty and researchers and NUS administrative departments;
- Administrative support for the running of the centre, including arranging meetings, liaising with third party providers and vendors;
- Supporting financial administration, processing of payment, procurement and budget tracking for centre expenses and donor funding;
- Tracking of assets and reporting deliverables to funders and donors;
Key Responsibilities
In addition to the above responsibilities, the successful candidate will also be required to:
- Support Centre Leads in arranging education and training activities of the centre;
- On the ground support for webinars, workshops, courses and training held in person and online;
- Liaise and work closely with local, regional and international partners and collaborators;
- Provide secretariat support for the centre, including arranging meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of reports;
- Work closely with other offices in the school and university to take forward all administrative tasks;
Qualifications and Skills
The ideal candidate will have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector. They will also require strong administrative skills and experience in supporting projects such as convening meetings, organising training and workshops, service contracts, financial administration, or equivalent experience. Excellent written and oral communication skills, with the ability to summarise content, prepare slides, reports and content are essential.
A good team player who is self-motivated, well organised and able to work well under pressure and tight deadlines is required. Effective problem-solving skills, with the ability to take initiative to learn on the job and manage various responsibilities are also necessary.
IT systems savvy and proficient in Microsoft Office Applications, with knowledge of NUS processes and systems being an advantage. Strong interpersonal and negotiation skills, with the ability to interact effectively with all levels of associates, including senior leadership are required.
