Job Title: Marine Project Coordinator The Marine Project Coordinator is responsible for coordinating and executing administrative tasks to ensure the smooth operation of the marine systems project team. Main Responsibilities:  
  • Coordinate with the commercial manager to execute project administrative tasks in accordance with organizational and functional guidelines.
  • Create purchase requests (PR) as per PM inputs in the SAP system and work with the SCM team for the release of PO.
  • Prepare commercial invoices and packing lists based on details received from various factories and contractual break-up, in accordance with terms and conditions.
  • Discuss with customers and obtain approval for final commercial invoices and packing lists, then share them with T&L and collaborate closely with them for timely shipment.
  • Prepare shipping marks based on contract or discussion with the customer, then share them with factories and ensure that shipping marks are fully stuck on each case and obtain photos from the factory.
  • Prepare delivery orders (DO) and coordinate with logistics for dispatches/deliveries to customers.
  • Store and maintain POs, order acknowledgments, detail packing lists, packaging details, shipping documents, B/Ls, and proof of deliveries (PODs) in SharePoint.
  • Check any additional documents needed from factories for issuing customer invoices.
  • Assist in providing supporting documents related to dispatches for issuing invoices.
  • Handle warranty arrangements, including arranging material dispatch to customers during the warranty period and coordinating with customers regarding warranty materials.
  • Arrange documentation for returning goods during the warranty period.
  • Support the project controller with documents related to shipping/service done.
  • Support project managers with project documentation, reconciliation activities, time sheet compilation, and other project documentation and reporting.
  • Support project managers with OPQ SAP entries and follow-up activities.
  • E nsure compliance with company procedures and principles.
 Requirements:  
  • Min. GCE 'A' Level/Diploma/Degree and/or Professional Certificate Course.
  • 2-3 years experience of similar work.
  • Experience in the marine/offshore/drilling field/shipbuilding/Oil & gas/Power Plants is preferred.
  • Strong communication, team player, multi-tasking skills required.
  • Fully conversant with standard MS Office tools, MS Teams, MS Project, while experience in SAP R/3 PS module is beneficial.
  • Excellent technical English writing and verbal skills required.
