Role Overview: Reception and Facilities Specialist

Work Dynamics - Integrated Facilities Management

Key Responsibilities

Take charge of the visitor experience, ensuring that every interaction leaves a lasting positive impression. Deliver essential front desk services, including visitor sign-in, badge issuance, luggage handling, lost and found management, and package deliveries. Manage incoming communications, directing phone calls, emails, and inquiries through the front desk. Welcome and assist candidates, new hires, visitors, and the general public with professionalism. Maintain awareness of ongoing events to personalize and enhance the visitor experience. Contribute proactively to uphold the highest standards of presentation and functionality in front-of-house and meeting/event spaces, paying close attention to detail. Set up meeting and event spaces according to team guidelines and safety considerations. Monitor meeting room conditions, including furniture arrangement, signage, equipment functionality, temperature, and supplies, ensuring meticulous attention to detail. Maintain up-to-date scheduling systems for conference rooms and event spaces. Stay informed about local services such as dining, accommodation, and transportation to assist visitors effectively. Collaborate daily with security and janitorial teams to coordinate meetings and events. Provide timely and personalized responses to inquiries regarding meetings and events. Adapt to various work environments as part of a cohesive team. Ensure accurate updates of room booking displays in accordance with local processes. Support space audits and other operational processes as needed. Assist with additional facilities services, including mail handling, site inspections, and administrative tasks.

Candidate Profile:

Experience in reception, concierge, or a related field is essential. Background in catering or hospitality is advantageous. Strong interpersonal skills with the ability to engage with diverse clientele. Experience in a high-profile corporate setting is preferred. Familiarity with facilities management is a plus. Proficiency in English and the local language is required. Strong computer skills and the ability to manage daily tasks using various systems. Exceptional attention to detail is crucial. Outstanding customer service abilities with effective communication skills, both written and verbal. Professional demeanor and the capacity to represent the team positively. Team-oriented mindset with a commitment to supporting colleagues.
