Export Documentation Specialist:

  • Prepare and manage all pre-shipment documents in compliance with international regulations and customer requirements, utilizing expert knowledge of export documentation software and systems.
  • Identify and mitigate compliance risks by staying current on changing international trade laws, ensuring accurate documentation and minimizing potential delays or penalties.
  • Collaborate with internal teams and external customers to resolve issues, gather information, and ensure smooth export processes, promoting effective communication and cooperation.
  • Analyze and optimize documentation workflows to improve efficiency, accuracy, and cost-effectiveness, often in collaboration with IT and other teams, driving continuous improvement and innovation.
  • Maintain meticulous digital and physical records of all export documentation for audits, customs clearance, and other purposes, ensuring transparency and accountability.
  • Train and mentor team members on proper documentation procedures and compliance standards, promoting knowledge sharing and capacity building within the organization.

Requirements:


  • Minimum Diploma Qualifications in a relevant field such as logistics, supply chain management, or international trade.
  • Minimum 5 years of experience in export documentation or relevant fields such as customs clearance, freight forwarding, or trade compliance.
  • Proficiency in export documentation software and systems, as well as excellent analytical and problem-solving skills.
  • Candidates must have Mandarin language proficiency to communicate effectively with Mandarin-speaking customers and stakeholders.

Key Responsibilities:


  1. Manage all pre-shipment documents, including commercial invoices, packing lists, and certificates of origin.
  2. Mitigate compliance risks through ongoing research and training on changing international trade laws and regulations.
  3. Collaborate with internal teams and external customers to resolve issues and ensure smooth export processes.
  4. Optimize documentation workflows to improve efficiency, accuracy, and cost-effectiveness.
  5. Maintain accurate and up-to-date records of all export documentation.
  6. Train and mentor team members on documentation procedures and compliance standards.
