The Office of Information, Knowledge and Library Services at Nanyang Technological University invites applications for the position of Senior Library Executive: Resources, Discovery and Access Specialist. This role executes the strategic planning and procurement of information resources, particularly databases and ebook collections, to support NTU's teaching, learning, and research needs.

Key Responsibilities

  • Supervise the end-to-end information resource purchase workflow, including requisition, payment, and record management in the library management system, ensuring seamless access for end users.
  • Compile and provide relevant usage data to facilitate librarians' evaluation of resource subscriptions and renewals.
  • Maintain accurate and active links to resources, ensuring content accessibility to the NTU community.
  • Implement automation of the document delivery service via RapidILL to improve work efficiency.
  • Coordinate with vendors for requests not available in RapidILL, delivering documents in a timely manner.
  • Monitor and submit purchase requests for document provision services charged by various vendors.
  • Identify and recommend resources in high demand for purchase, optimizing the library collection.
  • Provide peer training and sharing to increase team knowledge and service impact.
  • Manage ILL requests efficiently, ensuring timely delivery of requested books to NTU Library and requestors.
  • Administer payments for loan services charged by other libraries/vendors (local and overseas).
  • Manage invoices for items lent to other libraries (local and overseas) and monitor payment into NTU Library's account.
  • Respond to resources-related enquiries via CEMS, assisting users with required information or resolving access issues.
  • Manage the team's role-based email, responding to enquiries or escalating them to relevant librarians and colleagues.
  • Compile and analyse enquiries to identify and recommend new resources, services, or solutions to the team lead and librarians.

Requirements

  • Degree holders with at least 3 years of relevant experience, preferably in library and information science or service fields, or Diploma holders with an interest in these areas.
  • Relevant working experience and demonstrated ability in business, finance, or procurement, library collection acquisitions, or e-resource subscriptions will be advantageous.
  • Strong working knowledge and experience with Microsoft software applications, especially Excel.
  • Excellent written and oral communication skills.
  • Familiarity with library management and procurement systems.
  • Team player with good interpersonal skills and able to work effectively with users, colleagues, and other internal and external stakeholders.
  • Adaptable to change, willing to continuously learn and keep abreast of emerging practices and technologies.
  • Strong service mindset and excellent time management skills.
  • Strong planning and organisation skills with attention to details.
