Administrative Support Role

We are seeking a highly organized individual to provide administrative support to our dynamic Swim and Sports team.

This is an exciting opportunity to be at the heart of our Swim and Sports initiative, managing program schedules, coordinating meetings, and engaging with members to ensure our programs run smoothly and deliver a great experience.

  • Key Responsibilities:
  • Provide administrative support to the Swim and Sports team.
  • Serve as the primary point of contact for member inquiries and communications.
  • Coordinate and manage program schedules and appointments for Swim and Sports activities.
  • Prepare and distribute various communications, including memos, letters, and reports.
  • Organise and document meetings, including recording minutes and following up on action items.
  • Compile data for regular reports and maintain an efficient filing system.
  • Conduct market research to stay current on the swim and sports industry in Singapore.
  • Oversee and coordinate all aspects of events, including decorations, food & beverage, entertainment, and logistics.
  • Work closely with the Marketing team to promote and publicize events effectively.
  • Liaise with executives to handle requests and queries from Managers and Directors.
  • Perform other duties as assigned by the Head of Department and Management.

Requirements:

  • Diploma qualification or equivalent
  • Minimum 3 years of relevant experience in swimming and sports program administration
  • Eager to learn and contribute to the swimming and sports community
  • Strong communication and coordination skills
  • Ability to multitask and work independently with minimal supervision
  • Excellent organizational and interpersonal skills
  • Experience with design tools like Canva and video editing software such as CapCut is a plus
