Job Title: Procurement Specialist

Roles & Responsibilities:

  • Oversee and support all purchasing activities for headquarters and regional offices, including supplier management, quotation gathering for internal sales teams, and coordination of import shipments.
  • Negotiate with existing vendors to secure better pricing and shorter lead times, while also developing new supplier relationships.
  • Conduct cost-price analysis and implement cost reduction initiatives with current suppliers.
  • Handle procurement of consumables, equipment, spare parts, and other materials from both local and overseas vendors.
  • Establish and negotiate supplier contracts to ensure cost-effective, high-quality goods and services.
  • Liaise with suppliers to resolve discrepancies and follow up on outstanding issues.
  • Coordinate import shipments from suppliers to headquarters and overseas offices, ensuring accuracy of shipping documents and compliance with import rules and regulations.
  • Ensure all documentation is properly maintained and submitted on time for accounting and audit purposes.
  • Support logistics team with third-party outsourcing activities when required.
  • Include department colleagues in all correspondence (e.g., emails) to ensure transparency and status updates.
  • Provide coverage for departmental colleagues during leave or absence without disruption to operations.
  • Maintain updated order status in the shared folder at all times.
  • Work collaboratively and maintain consistent communication with team members on all matters.
  • Manage dropship arrangements from suppliers directly to customers, informing Sales/Operations/Logistics in advance to prepare delivery orders.
  • Generate and maintain monthly reports on suppliers' outstanding and pending payments.
  • Perform any other tasks assigned by management.
