Job Role: HR Support Specialist

Description:

The HR Support Specialist will provide administrative assistance to the Human Resources department in all facets of HR functions. This role is responsible for delivering high-quality support to ensure the smooth operation of HR activities.

Key Responsibilities:
  • Recruitment and Selection: Post job advertisements, conduct preliminary screening of resumes, coordinate and arrange interviews, manage resumes in the recruitment portal, conduct interviews for temporary staff, interns, and contract service personnel.
  • Onboarding of New Staff: Prepare necessary documentation for new staff onboarding.
  • Offboarding of Resigned Staff: Manage resigned staff clearance and exit processes.
  • Confirmation of New Staff: Monitor new staff join dates and probationary periods, ensure confirmation cases are followed up duly.
  • Attendance & Punctuality: Monitor and update staff attendance and punctuality records.
  • Payroll Preparation: Check contract staff timesheets, overtime claims, compute no pay leave, ready payroll processing.
  • Administer Welfare and Benefit Scheme: Announce, coordinate, order invoices for items related to newborn, bereavement, hospitalization cases.
  • Co-ordinate for Staff Training Programme and Update Training Records.
  • Provide Administrative Support: Assist with testing in HR automation projects, perform data entry of staff records, prepare and update staff p-files, HR files, e-documents in the drive.
Requirements:

To be successful in this role, you will need:

  • Diploma in Business / Human Resource or equivalent qualification.
  • Minimum two (2) to three (3) years of working experience in HR profession.
  • Familiarity with recruitment, attendance, HR administration, and automation is desirable.
  • Candidates must be friendly, service-oriented, keen to learn, and grow in HR.
  • Good communication and writing skills are essential.
  • Meticulous individuals with initiative, multitasking abilities, and ability to work in a fast-paced environment are preferred.
  • Proficiency in MS Excel, Google Sheets, and PowerPoint is required.
