Job Title: Corporate Secretarial Assistant Manager/ Manager

About the Role:

We are seeking a highly skilled and experienced Corporate Secretarial Assistant Manager/ Manager to join our team at BoardRoom Limited. As a key member of our corporate services team, you will be responsible for providing exceptional client service, managing a team of staff, and ensuring compliance with regulatory requirements.

Key Responsibilities:

  • Manage a team of 2-4 staff, providing guidance and support to ensure they meet their responsibilities and deadlines.
  • Develop and maintain strong relationships with clients, ensuring prompt responses to their requests and queries.
  • Conduct thorough research on clients, their industry, and key contacts to identify opportunities for growth and improvement.
  • Oversee the overall client servicing of the group, taking ownership of any issues that may impact client satisfaction or retention.
  • Act as named Company Secretary for clients, ensuring compliance with regulatory requirements and maintaining accurate records.
  • Collaborate with the Marketing Director to develop and implement marketing plans for the department, driving business growth and expansion.
  • Supervise the preparation and coordination of statutory registers, books, and documents, ensuring timely submission to relevant authorities.
  • Provide regular feedback and evaluation to staff, identifying areas for improvement and developing training programs to enhance their skills and knowledge.
  • Work closely with the Finance team to ensure prompt billing and collection of debts, maintaining accurate records and reporting on financial performance.
  • Identify opportunities for process improvements and implement changes to enhance efficiency and productivity.
  • Participate in the preparation of budgets and forecasts, analyzing performance and making recommendations for improvement.

Requirements:

  • Minimum: Qualified ICSA graduate or equivalent.
  • Minimum 5-7 years of relevant and related working experience.
  • Strong written and verbal communication skills, with excellent client servicing skills and problem-solving abilities.
  • Extensive knowledge of Listing Manual, Companies Act, Catalist Rules, and Securities and Futures Act procedures and guidelines.
  • Strong Microsoft Office skills, particularly in Word, and good knowledge of View Point.
  • Excellent organizational and interpersonal skills, with the ability to lead and motivate a team of professional staff.
  • Ability to build strong relationships with clients and colleagues, with a willingness to share knowledge and expertise.
