About the Role

We are seeking an experienced Administrative Officer to support the operations of our Family Service Centre. As an Administrative Officer, you will play a vital role in ensuring the smooth day-to-day functioning of our centre, allowing our direct care professionals to focus on delivering high-quality services to our clients.

Key Responsibilities
  • Office Administration and Management
    • Oversee the maintenance of our premises, ensuring a clean and safe working environment.
    • Manage the upkeep of office assets, including equipment and furniture.
    • Provide administrative support to our team, including scheduling appointments and meetings.
    • Assist in the preparation of reports and minute-taking for selected meetings.
    • Develop and maintain filing systems, ensuring accurate and efficient record-keeping.
    • Manage the inventory of office supplies, ensuring we have the necessary resources to operate effectively.
  • Human Resource Management
    • Update staff records and data, ensuring accuracy and compliance with company policies.
    • Liaise with internal and external departments to manage administrative and operational work related to staff entry and exit.
  • Data and Case Administration
    • Create and maintain data spreadsheets and presentations, providing valuable insights to inform our services.
    • Enter and update client data in our casework database, ensuring accurate and up-to-date information.
    • Prepare and submit relevant audit reports and casework reports, ensuring compliance with regulatory requirements.
  • Finance Administration
    • Assist in monitoring office operations expenses, ensuring we stay within budget.
    • Process invoices, purchase orders, and expense reimbursements, ensuring timely and accurate payment.
    • Ensure the safekeeping of monies, including petty cash, donations, program fees, subsidies, and financial assistance to clients.
    Requirements
    • Diploma in any discipline with 8 years of experience in a similar role.
    • Committed and responsible, with excellent time management skills and the ability to prioritize work.
    • Proficient in MS Office, particularly MS Excel and MS PowerPoint.
    • Excellent written and verbal communication skills, with good interpersonal and teamwork skills.
    • Strong organizational skills, with the ability to multitask and adapt to changes.
