Administrative Officer

This incumbent reports to the Senior Manager of General Affairs at POKKA PTE. LTD. The primary responsibility is to provide administrative support and secretarial services as determined by the superior.
Key ResponsibilitiesAdministrative Duties• Issuance of non-trade purchase orders in accordance with the company's approval matrix and compliance protocol.
• Management of office stationery, printing supplies, and office equipment, including sourcing and negotiating quotations with suppliers.
• In charge of office sundries, meeting room management, and toilet supplies, ensuring that all facilities are well-maintained and meet company standards.
• Liaise with technicians, vendors, or contractors for repair and maintenance of equipment, facilities, and building maintenance.
• Management of company fleet vehicles, including upkeep, diesel usage, and maintenance, including renewal of road tax, insurance, and COE.
• Pest control administration and good filing management of agreements, licenses, safety, and sales certificates.
• Renewal of PK Group (Singapore) General Insurance and expatriate accommodation management.
• Supervision of dispatch riders' roles and duties and company transport arrangement.
• Building facility maintenance upkeep and fixed assets registry.
• Replenishment of first aid boxes and maintenance of AED defibrillators.
• Other ad-hoc duties as assigned by the Head of Department.
Support Reception Duties (Contactless Reception)• Handling all incoming calls and mail management, including distribution and record maintenance of all incoming and outgoing mails to relevant departments.
• Floral and gifts ordering, assisting in contacting floral and gift companies for company-related orders as approved by HR.
• Ensuring schedule cleaning routines by contractors are kept on time and done within company cleaning standards and set protocols.
Support in Corporate Admin/Secretariat Duties• Office contract management and filing.
• Management of Pokka Connect – GA Department's Administration.
• Facilitating ECM/BDM in the absence of the Department Head.
• Liaising with Corporate Sec Filing Agent as assigned.
• Preparing DRIW, extracting DRIW, and other related tasks.
• Handling air-tickets, hotel accommodation bookings, and visa/permit applications.
Requirements• Minimum O-Level/Diploma or equivalent will be advantageous.
• Preferably 2 years of administrative/general clerical experience.
• PC literate and independent with strong multi-tasking skills.
• Good working attitude and ability to interact with staff of all levels.
• Able to speak both English and Mandarin.
• Careful and meticulous in numbers for PO issuance/quotation comparison.
• Good initiative and team player.
• Able to start work immediately or at short notice would be preferred.
