Job Description & Requirements

. Serve visitors by greeting, welcoming, and directing them appropriately.

. Notify company personnel of visitor arrival.

. Maintain security and telecommunications system.

. Inform visitors by answering or referring inquiries.

. Direct visitors by maintaining employee and department directories

. Answer screening and forwarding incoming phone calls

. Receive, sort and distribute daily mail/deliveries

. Multi-Task and Stress Management Skills

. Execute all administrative Tasks to Highest Quality Standards

. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

. Provide basic, accurate information in-person and via phone/email

. Update calendars and schedule meetings

. Arrange travel, accommodations, and prepare vouchers

. Keep updated records of clinic expenses and costs

. Perform other clerical receptionist duties: file, photocopy, transcribe and fax

Requirements

. Able to work weekends and Retail Hours

. Proven work experience as a Receptionist, Front Office Representative or similar role

. Proficiency in Microsoft Office Suite

. Hands-on experience with office equipment (e.g. fax machines and printers)

. Professional attitude and appearance

. Solid written and verbal communication skills

. Ability to be resourceful and proactive when issues arise

. Excellent organizational skills

. Multitask and time-management skills, with ability to prioritize tasks

. Customer service attitude

. N/O Level and Above

. Additional certification in Office Management is a plus
