This position is critical in supporting the School of Chemistry, Chemical Engineering and Biotechnology (CCEB) in managing all aspects of the school's graduate studies.

The incumbent will assist the Associate Chair of Research and Graduate Education with student admission, timetabling, examination and administration of postgraduate studies.

The main responsibilities are:
  • Admissions
  • Prepare interview logistics and schedule interviews for shortlisted applicants
  • Compile student and supervisor preferences and assist the Associate Chair to assign students to supervisors according to stipulated requirements.
  • Maintain scholarship files and track application status to ensure updated information is readily available.


  • STP (Exchange/ Non- graduating students)
  • Revise and update the guideline for student to apply non-graduating student timely.
  • Work with OGEM and One Stop to process the applications.
  • Create ServiceNow requests for student payment of Research Fees, Application Fees, and Miscellaneous Fees
  • Keep track of NG student status


  • Honorarium Payment for External Examiners
  • Create external examiners account via ServiceNow.
  • Prepare payment instructions and submit request through ServiceNow.
  • Keep track of the payment status


  • Research Grant Verifier
  • Verify purchasing requests of Ariba under PI research grant.
  • Verify central equipment/facility/chemical stores request under PI research grant.
  • Verify staff/student claims under PI research grant.


  • Others
  • Support the coordination of PG events such as CoS Orientation and 3MT.
  • Perform any other ad hoc duties or projects assigned


Key competencies and qualification requirements:
  • A recognized bachelor's degree in any discipline.
  • Proficient in MS Office.
  • 1-3 years prior experience in educational program management is preferred. Fresh graduate welcome to apply.
  • Strong ability to communicate (verbal and written skills) effectively with students, faculty, and team members.
  • Planning and organizing, communication skill, negotiation and influencing skills.
  • Knowledge of contract management, data analysis, financial management.
  • Resourceful and independent.
  • Ability to work effectively under pressure.
  • Proactive and a positive attitude towards work tasks.
  • Conscientious team player.
  • Assertive and meticulous.
