Roles & Responsibilities

West side

Mon - Fri, 8:30am - 5:30pm (2 days WFH)

Order Management

  1. Process sales orders in full cycle from order entry, drop outbound to invoicing in timely manner
  2. Check all tender pricing and supporting documents for tender bidding
  3. Ensure daily distributor's enquiries are attended to e.g. stock status, order status and delivery status
  4. Generate the Application for Exports Bills (under Letter of Credit)
  5. Generate credit note when required
  6. Liaise with the relevant internal and external parties to manage and resolve all issues related to order fulfilment
  7. Monitor and follow up on pending orders, backlog status and payment
  8. Review Letter of Credit and advise distributors for any amendments to avoid delay payment and/or shipment
  9. Raise Customer Request Form for new distributor, new payment term, change of address, etc in order to maintain correct data in current system (SAP)
  10. Work with finance department on all account receivable

Logistics and Shipping

  1. Follow up on shipment status and ensure distributors' requested delivery dates are met
  2. Maintain records and coordinates with third-party logistics for all outbound shipment
  3. Maintain shipping records, including providing tracking or shipping history information to customers on request
  4. Maintain distributor shipping address in current system (SAP)
  5. Maintain distributor appointed forwarder information in Overseas Buyer (OB) table
  6. Prepare shipping documentation (commercial invoice, packing list and shipping instructions
  7. Prepare and apply country of origin certificate from Chamber
  8. Liaise and negotiate with Bank on Letter of Credit Shipment
  9. Liaise with third-party logistics to ensure shipments are on time and the correct export documentation and customs and excise conditions are adhered to
  10. Liaise with Inspection Company when necessary
  11. Schedule and coordinate with international freight forwarder transactions
  12. Update shipping schedule weekly and as needed basis to efficiently meet the distributors shipping schedule and satisfy the requested ship dates
  13. Works with Countries to support return and claim request

Administration

  1. Ensure completeness and accuracy on each documents created and proper filing in accordance with the company's guideline
  2. Monitor of dispatched documents to customers
  3. Update of relevant information for sales and monthly reports

Any other duties assigned by Management from time to time

Requirement:

  1. Minimum diploma level with at least 1 - 2 years of experience in sales coordination, logistic industry or supply chain function
  2. Working knowledge of entire order management process and shipment documentation
  3. Proficient in MS Office applications, in particular MS Excel and SAP
  4. Independent and possess initiative
  5. Good interpersonal and communication skills with a positive mindset
