Roles & Responsibilities

Receptionist cum Admin

We are seeking a proactive and flexible Receptionist Cum Admin to join our team. This dual-role position will be responsible for handling receptionist duties and supporting the administrative functions of the office. The ideal candidate will have excellent organizational and communication skills, be able to work under pressure, and be a reliable team player who thrives in a fast-paced environment.

Reception:

· Answering of incoming calls and doorbells

· Screening and transferring of calls

· Arrange local and overseas couriers. Open letterbox daily.

· Receiving incoming deliveries

· Receiving visitors and making beverages

· Arrange meeting rooms booking and prepare meeting rooms in advance when necessary

Travel Arrangement (For Management, Traders and Guests)

· Flight booking

· Hotel accommodations

· Visa applications

· E-Entry visa applications

· Reimbursements/Expense Claims

Administration

· Booking of restaurants

· Replenish pantry and stationary supplies

· Business cards printing

· Manage office main entrance door access

· Maintenance of office equipment maintenance: photocopier, lights, etc.

· Liaise with Suntec Building Management for aircon, toilets etc.

· Ensure cleanliness and tidiness of office

· Administrative support to Management and team

· Hotel corporate rates arrangement

Others / Miscellaneous

· Updating of MarketView Platts Data daily

· Receiving guests from the airport (only when requested)

· Organizing events eg: birthday parties (only when requested)

· Purchase gifts for guests

· Purchase things for Management and office

· Check part-time cleaner's time entry form

· Assisting in company's events eg: Restaurant booking for Chinese New Year, Mid-Autumn Festival and Venue sourcing for D&D

· Other Adhoc work assistance when requested

IT (Part of IT committee)

· Liaise with outsourced IT Vendor (Zentech Solutions) for troubleshooting office various IT Issues.

· Ensure renewals of all IT related licenses and warranty are done timely to avoid lapses

· Purchase of IT equipment whenever required

Requirements:

· Adaptability: Flexible and able to think on your feet in dynamic situations.

· Education: Computer literate with a tertiary education.

· Experience: Preferably 2 years of relevant experience in a similar role.

· Communication Skills: Strong negotiation and communication skills

· Interpersonal Skills: Excellent interpersonal skills with the ability to build relationships at all organizational levels. Must be able to understand mandarin as we have many clients from China.

· Pressure Management: Ability to work effectively under pressure and handle multiple tasks simultaneously.

· Appearance: Well-groomed and professional appearance, as this position involves greeting customers and visitors.

· Remain contactable for urgent matters even after office hours, during weekends/PH. Returning to office may be required at times but not too often.

· IT: Good to have simple IT knowledge
