Job Summary:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support. This role requires expertise in general secretarial duties, event preparation, logistics coordination, and handling incoming communications. The ideal candidate will have strong multitasking abilities, excellent communication skills, and the ability to work in a fast-paced environment.


Key Responsibilities:

Executive Support & Secretarial Duties:

•Manage and maintain executives’ schedules, including meetings and appointments.

•Prepare and edit correspondence, reports, and presentations.

•Handle confidential documents with discretion.

•Coordinate travel arrangements, including flights, accommodations, and itineraries.

•Maintain office records and ensure efficient filing systems.

•Field calls, screen inquiries, and respond to emails on behalf of the executive.

Event Preparation & Logistics Management:

•Plan and coordinate company events, meetings, and conferences.

•Handle venue booking, catering, and other logistical arrangements.

•Prepare event-related materials, including agendas and presentations.

•Ensure smooth execution of events by liaising with vendors and stakeholders.

•Manage guest lists, RSVPs, and special accommodations as needed.

Communication & Coordination:

•Act as a liaison between the executive and internal/external stakeholders.

•Screen and prioritize incoming communications.

•Assist in drafting and distributing official communications.

•Handle ad-hoc administrative tasks and special projects as required.


Qualifications & Skills:

•Bachelor’s degree in Business Administration, Communications, or a related field preferred.

•3+ years of experience in an Executive Assistant or similar administrative role.

•Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).

•Excellent organizational and multitasking abilities.

•Strong verbal and written communication skills.

•Ability to work independently and handle confidential matters with discretion.

•Experience in event planning and logistics coordination is a plus.
