Executive/Assistant Manager

The incumbent reports to the Section Head in-charge and works with minimal day-to-day supervision. Specific duties include: -
A) Student Administration
• Manage or assist to manage and streamline specific student administration activities and processes, such as:
- Exam Processing
- Medals and Prizes
- S/U Option Declaration Exercise
- Student Academic Standing, Candidature, Examination and Record Matters
Duties include (i) preparing implementation schedules, documentation and materials, (ii) briefing and liaising with faculty administrators, (iii) preparing, maintaining, enhancing and testing of IT systems supporting the activity/process, (iv) troubleshooting and resolving issues, (v) data preparation, verification and cleansing, (vi) running necessary processes, (vii) attending to student enquiries, and (viii) reporting to management etc.
• Be a Faculty Liaison Officer advising faculties on undergraduate and graduate student administration, and academic policies and processes.
B) Policy & Secretariat
• Manage and provide secretariat support for a key University academic committee, including preparing for, supporting and attending meetings, drafting circulars and meeting minutes, managing committee matters including policy, programme and other approvals, filing and record-keeping, and managing and communicating University rules, policies and processes
• Support the Currculum Management System, including troubleshooting and resolving system issues with vendor, verifying and cleansing data and programme and module/course proposals, gathering of requirements for and testing enhancements and reports, developing and conducting system trainings and briefings, and addressing and answering user enquiries
C) Other Duties
• Prepare and review work manuals, correspondences, print and online publicity materials, forms, regular and ad-hoc reports etc. related to the scope of work.
• Liaise with other University departments and units, and relevant external parties such as government departments, on academic and student policies and procedures
• Perform other administrative duties, and participate in regular and ad-hoc projects as assigned, including:
- Examination duty and venue administration during examination periods.
- Commencement duty during Commencement periods and ceremonies.
- Serving as a member/secretary on any academic/administrative policy/system committee.
• University degree
• Relevant work experience in an educational environment will be an advantage
• Proficient in MS Office applications
• Experience in / exposure to the following will be a definite advantage: - PeopleSoft Campus Solutions modules (particularly, Campus Community, Student Records, and Campus Self-Service)
• Excellent communication (oral and written) skills
• Organised and able to work well under pressure and with tight deadlines
• Team player with good analytical, problem-solving and critical-thinking skills.
