Tender Administrator

We are looking for highly motivated and enthusiastic individual to join us. In this role, you are required to manage the tendering process, ensuring accurate and timely bid submissions.
Key responsibilities include reviewing documents, coordinating with the team, preparing tender submissions, and maintaining the database. The role requires strong organizational skills, keen attention to detail, ability to meet deadlines while ensuring full compliance with all tender requirements and a thorough understanding of tender requirements and clauses to safeguard the company's interests.
Roles and Responsibilities:
- Oversee the entire tender process, including identify tender opportunities, evaluating requirements, prepare tender submissions, organize meetings and maintaining accurate records of tender activities.
- Identification of tender opportunities from various procurement portal (eg. GeBIZ, Ariba, Sesami, Tender Boards).
- Review tender specifications and compile all essential information/documentation to ensure timely and compliant submissions for all bids/tenders.
- Coordinate with various internal stakeholders to gather necessary information, including but not limited to supporting documents and pricing details for tender responses.
- Identify suitable qualified consultants (with guidance from Supervisor and associated Director) for joint participation in multi-disciplinary projects and coordinate invitations.
- Liaise with external consultants to collect required documents, ensuring completeness and full compliance with tender requirements.
- Assist in proof-reading and editing tender submissions to ensure accuracy, consistency, and adherence to formatting requirements.
- Follow up with clients' post-submission to obtain feedback and address any additional requirements.
- Assists in the management of data related to the tendering process (eg. maintain a database of tender opportunities, awarded tenders, provide regular updates on submission status and staff CVs).
- Providing feedback and recommendations for continuous improvement of the tender/bidding process and performance.
- Any other ad-hoc assignments assigned in order to support management.
Requirements:
- Minimum Diploma related to the construction industry (eg. Architectural, Engineering, Project Management, Quantity Surveying) is preferred.
- At least 2 years of experience in business development and/or tender management.
- Strong understanding of end-to-end tender process.
- Proficiency in Microsoft Office.
- Ability to work independently and be highly self-motivated in a fast-paced environment.
- Good verbal and written communication skills, with the ability to create clear, concise, and persuasive proposals.
- Singaporean or have full working rights for Singapore may apply.
