Roles & Responsibilities

Responsibilities:

  • Manage corporate services, facilities management, leasing, vendor and outsourcing management and general administration.
  • Repair and maintenance for bank's facilities including but not limited to air conditioning, fire service system, access card system, CCTV, premises security, workplace safety and health, electrical system, plumbing and drainage System.
  • Plan and monitor renovation and relocation projects, including physical relocation services.
  • Renewal of company car.
  • Purchase of office furniture and office equipment.
  • Assist in bank-wide budget preparation including repair, maintenance and new purchase.
  • Manage and monitor vendors' performance and outsourcing activities to ensure quality of works meet with the agreed Service Level requirement, compliance, service standard and site visit.
  • Liaise with external vendors and building management for sorting out building facilities issues.
  • Responsible for general administration, procurement, outsourcing, printing services, office supplies, secure & general courier services, office equipment management, records management services and mailing services.
  • Manage contract renewal, insurance policies renewal and prepare proposal for approval before deadline.
  • Manage and negotiate with vendors and conduct tender exercises.
  • Ascertain proper approval on service orders and payment process.
  • Streamline and review daily operation workflow to enhance efficiency.
  • Support procurement documentation that align with bank's policy.
  • Review procedure and policies annually.
  • Assist in BCP drill and work closely with IT team on issue affecting corporate services.
  • Assist in ad-hoc projects / tasks.
  • Able to work independently and facilitate co-operation across BUs/SUs,
  • Act as coordinator to support bank for leasing matters, manage stakeholders, including landlords, vendors, consultants, contractors and building management offices,
  • Ensure procurement process and outsourcing activities comply with the bank's policies and procedures.

AML/CTF Responsibilities

  • Comply with anti-money laundering / counter terrorist financing requirement and sanction risks controls in accordance with regulatory standards and Banking policies.

Job Requirements:

  • Diploma/Degree holder or equivalent in business administration/management, procurement related disciplines.
  • Minimum 5 years' experience in facilities management, familiar with corporate services, outsourcing, procurement, vendor management, general administration preferably in banking field.
