Secretary cum Personal Assistant

(Reporting to President, CEO and Group Financial Controller)
Job Responsibilities:
Secretary
· Assist and support President, CEO and Senior Management in scheduling meetings, appointments and performing concierge services.
· Make reservations (including amendments for air tickets and hotel bookings for President, CEO, Management Staff, employees and travelling guests.
· Assist in Work Pass and VISA renewals and applications for employees and guests who are visiting Singapore or travelling overseas whenever required.
· Answer phone calls, take messages and handle all correspondence.
· Maintain diaries and arrange appointments.
· Type, prepare and collate reports. Remind finance managers to furnish their annual budget, financial reports, inventory reports, aging reports, sales reports, etc.
· Ensure proper filing of documents.
· Prioritize workloads.
· Implement new procedures and administrative systems.
· Liaise with relevant organizations and clients.
· Coordinate mailshots and similar publicity tasks.
· Log or process bills or expenses.
· Act as a receptionist and/or meet-and-greet clients/guest.
· Recruit, train and supervise junior staff.
· Ensure accurate and timely payment of bills.
· Neat, sharp and meticulous.
· Ability to communicate with all levels.
· Ability to work long hours and participate in ad-hoc projects.
· Occasionally assist on bookings over weekends.
Personal Assistant
· Run personal errands.
· Prepare specialized reports.
· Familiar with Online Banking.
· Keep a record of all personal expenses and ensure settlement of bills on a timely basis.
· Manage schedule.
· Look into meals and other dietary requirements.
· Maintain the utmost confidentiality with sensitive information.
· Other ad-hoc duties as assigned.
Job Requirements:
· Minimum Diploma preferred.
· Good command of spoken and written in English.
· Proficient in MS Office & Goggle Calendar.
· Meticulous and organized.
· Ability to work independently and as part of a team.
· Ability to handle confidential information with discretion.
· Ability to multitask and prioritize tasks effectively.
· Comfortable to work in fast paced environment.
