Roles & Responsibilities

About the Role:

Support the team in executing operational tasks, supporting event logistics, and maintaining facility standards with diligence and attention to detail. Additionally, they assist in coordinating refresh projects, ensuring seamless alignment between construction activities and operational needs to uphold a conducive environment for tenants and events. With a focus on meticulous execution and teamwork, the Executive helps uphold *SCAPE's reputation for excellence in facility management and event coordination.


Refresh Project

  • Review all electrical design and installations to ensure compliance with safety standards and operational requirements.
  • Manage the installation of Building Management System (BMS), ensuring proper interfacing with room booking systems and equipment monitoring and control.
  • Coordinate refresh work that impacts tenants or event organizers, ensuring minimal disruption and adherence to timelines.
  • Oversee the approving of electrical equipment and materials for refresh projects, ensuring quality and compliance to specification.
  • Conduct regular inspections of electrical installations to identify any issues or deficiencies and implement corrective actions as needed.
  • Provide technical support and guidance to the estates team and contractors regarding electrical systems and installations.
  • Maintain documentation and records related to electrical installations and refresh projects for reference and auditing purposes.
  • Assist in the development and implementation of policies and procedures related to electrical installations and refresh projects.

Facilities Operation & Maintenance

  • Support the estates team in daily operations, including security, cleanliness, pest control, landscaping, etc., to ensure the property is always maintained in good condition.
  • Support the team in corrective maintenance works assigned, and other necessary tasks to uphold the property's standards.
  • Conduct random checks and regular inspections to identify and address any maintenance or operational issues promptly.
  • Process and track electronic Permit-To-Work (e-PTW) issued for maintenance and operational activities.
  • Support in assigned sourcing via tender or ITQ, including processes such as tender opening, bid evaluation, and vendor selection.
  • Seek approval for procurement, follow-up on contract administration, raise purchase requisitions, and oversee the payment process for maintenance-related activities.

Estate & Facilities Improvement Works (Cyclical & Replacement of Assets)

Support the manager in execution of assigned: (i) special projects to improve and enhance building and facilities’ operations; (ii) building upgrading or asset enhancement works. This includes:

  • Supporting procurement activities, including the preparation of tender documents, bid evaluation, seeking approvals, tender award, and contract management.
  • Following up on contract administration, purchase requisitions, and payment processes.
  • Assisting in the onboarding of new contracts/contractors by establishing checklists, Standard Operating Procedures (SOPs), and operation manuals.
  • Participating in the development and execution of performance reviews for suppliers and contractors.
  • Assisting in the proper management of project budgets and implementing appropriate budgetary control measures.
  • Contributing to the maintenance of records related to projects and improvement works.

Tenancy Management

  • Provide ongoing support and assistance to assigned tenants as required, fostering positive tenant relationships and satisfaction.
  • Handle the handing over and taking over of tenanted units assigned, ensuring thorough documentation and adherence to procedures for a smooth transition process.

Events Support & Management

Assist to efficiently and effectively manage logistics required and coordinate internally to support events. This includes, but is not limited to:

  • Preparing in advance all logistics requirements for events.
  • Assisting in event set-up where necessary, such as configuration of stage, setting up of tables and/or chairs, outdoor portable audio, power & lighting systems.
  • Ensuring compliance with SOPs for handing over/taking over of venues for events.
  • Ensuring compliance of rules and regulations applied to all event vendors.

Fire Safety & Emergency Related Activities

  • Participate as a member of the Company Emergency Response Team.
  • Participate as a member of the in-house fire fighter/fire warden.
  • Standby for major events and attend to any ad-hoc duties assigned by Management
  • Supervise security and FCC operation

Others

  • Standby for major events and perform any other duties as assigned by supervisor and/or Management.

Knowledge and Experience:

  • Candidate must possess a diploma or degree in Engineering (Electrical), Property Development or Estate / Building Management or equivalent.
  • At least 2-5 years of working experience in the related field is required for this position.
  • Good administrative and computer literacy
  • Familiar with procurement activities
  • Experience in development of SOP, execution of policy, etc.
  • Budget planning and report writing
  • Good time management and multi-tasking
