Job Summary:
We are seeking an experienced and detail-oriented Administration Manager to oversee and enhance our office operations. The ideal candidate will be responsible for ensuring the smooth running of daily administrative functions, maintaining company records, and supporting the management team in achieving business goals. The role requires excellent organizational skills, leadership, and a proactive approach to problem-solving.

Key Responsibilities:

  • Oversee and manage all administrative operations to ensure efficiency and effectiveness.
  • Develop and implement office policies, procedures, and workflow improvements.
  • Supervise and support the administrative team, ensuring high performance and professionalism.
  • Maintain company records, contracts, and official documentation in compliance with company policies and legal requirements.
  • Liaise with internal and external stakeholders, including vendors, service providers, and regulatory bodies.
  • Manage office facilities, procurement, and inventory to support a smooth working environment.
  • Assist in budgeting and financial reporting related to administrative functions.
  • Support HR functions, including recruitment, employee onboarding, and payroll coordination.
  • Ensure compliance with data security, confidentiality, and corporate governance standards.
  • Coordinate corporate events, meetings, and travel arrangements as needed.

Technical Skills and Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Familiarity with corporate governance and regulatory compliance in Singapore.
  • Strong analytical and problem-solving skills to enhance administrative processes.
  • Knowledge of financial management, budgeting, and reporting.
  • Experience in HR processes, payroll coordination, and employee engagement initiatives.
  • Ability to implement and manage data security and confidentiality measures.
  • Excellent written and verbal communication skills for stakeholder engagement.

Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum 5 years of experience in office administration or a similar managerial role.
  • Strong leadership and people management skills with the ability to mentor and develop a team.
  • Excellent organizational and multitasking abilities with a keen eye for detail.
  • Strong communication and interpersonal skills to interact with diverse stakeholders.
  • Ability to work independently and make informed decisions under minimal supervision.
