The Role

Play a crucial role in ensuring the smooth and efficient operation of Akkodis' business in Singapore and the ASEAN region. As our Business Operations Specialist, you'll be the backbone of our back-office functions, collaborating closely with internal teams and external clients to drive operational excellence.

Main Responsibilities

1. Internal Operations:

  • Consultant Management: Work closely with internal finance and HR teams to manage consultant onboarding, timesheets, offboarding processes as well as necessary follow up and team building activities.
  • Invoice Management: Work closely with internal team to handle monthly invoicing, ensuring accuracy and timely submission to clients based on invoicing requirements of clients. Follow-up with clients on the receipt of the invoices.
  • Operational Interface: Act as the point of contact for daily and monthly operational matters between Akkodis and our sister company or other partners.

2. External Client Support:

  • Issue Resolution: Address and resolve client inquiries or concerns related to operations and processes.
  • Compliance: Ensure all procedures are fully compliant with client requirements and internal standards.
  • Process Alignment: Proactively work with clients to align processes and streamline operations.

3. Documentation & Records Management:

  • Quotation & Marketing Materials: Maintain organized records of quotations, marketing materials, and other critical business documents.
  • Document Control: Ensure all company files are properly stored, archived, and easily accessible.
  • Data Management: Implement and maintain efficient systems for data collection and analysis.
  • Reporting: Ensure accurate and timely submission of monthly closing reports to Finance, as well as other ad-hoc reports

Requirements

  • Undergraduate degree in Bachelor's degree in Finance, Business Administration, Operations Management, or a related field.
  • At least 3-5 years of experience in business operations, preferably in a professional services or consulting environment.
  • Operational Excellence: A detail-oriented individual with a strong focus on accuracy and efficiency.
  • Communication Skills: Excellent written and verbal communication skills, capable of building strong relationships with internal and external stakeholders.
  • Problem-Solving: Proactive and solution-oriented approach to addressing challenges.
  • Process Improvement: Ability to identify and implement process improvements to enhance efficiency.
  • Compliance & Risk Management: Understanding of compliance requirements and ability to mitigate risks.
  • Organization & Time Management: Exceptional organizational skills and ability to manage multiple priorities.
  • Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable learning new software tools.
