Roles & Responsibilities

1. Customer Service Management:

  • Assist in Handling Client Inquiries: Answer phone calls, emails, and walk-in customers, assisting with travel bookings, inquiries, and providing information on destinations, packages, and services.
  • Problem Resolution: Address and resolve customer issues or complaints regarding bookings, cancellations, and travel arrangements, ensuring customer satisfaction.

2. Team Supervision and Support:

  • Assist in Staff Management: Supervise junior staff and travel agents, helping with daily tasks, workload management, and performance evaluations.
  • Training and Development: Help onboard new employees and assist in ongoing training for current team members, ensuring they are knowledgeable about travel products, booking systems, and customer service protocols.

3. Operations and Administration:

  • Booking Coordination: Support in processing bookings, including flights, accommodations, tours, and other travel services, ensuring all details are accurate.
  • Documentation and Reporting: Assist with administrative tasks such as maintaining client records, filing, creating reports, and keeping track of financial transactions related to bookings.
  • Supplier Relations: Liaise with airlines, hotels, tour operators, and other vendors to ensure service quality and availability of travel products for clients.

4. Sales and Marketing Support:

  • Promote Travel Packages: Help with the promotion and sale of travel packages, special deals, or seasonal offers, working alongside marketing efforts to drive sales.
  • Client Retention: Assist in maintaining relationships with repeat clients and offer personalized travel services or recommendations based on customer preferences.

5. Operational Problem-Solving:

  • Oversee Daily Operations: Ensure the office runs smoothly by handling issues related to bookings, staffing, or operations in the absence of the Manager.
  • Crisis Management: During any disruptions (e.g., flight cancellations, changes in bookings), assist in finding alternatives for clients quickly and efficiently.

6. Collaboration and Communication:

  • Coordinate with Departments: Work closely with the Marketing, Operations, and Finance teams to ensure cohesive business operations.
  • Report to Manager: Provide regular updates to the Travel Agency Manager about sales, customer feedback, or any issues requiring attention.
