Prepares and maintains a variety of confidential documents and reports
Maintain and update DS Organisation Charts for SG and overseas offices
Scheduling meetings and arrange logistical details
Facilitate flow of communications within HR team and staff in general
Plans, coordinates and organizes office and department activities
Administrative Support
Support and manage (as Expense Partner) the Workday Expense Module
Review and verify all expense reimbursement made by Singapore Downstream employees
Arrange for payment to staff
General administrative support for services from office vendors (in SG) and process vendor payment requests (SG and GAR’s global overseas offices)
Support the IHP Program – liaise with IHP on DS queries, maintain monthly records of employees’ medical entitlements for submission to IHP, and create quarterly medical claims reports
Benefits administration for SG DS employees: Examples – Gifts for special occasions; insurance claims submissions from staff, regular purchase of fruits, supporting 3RP program etc.
Assist in ensuring office furniture are well maintained and office cleanliness observed
Other ad hoc work as assigned by the HOD
EDUCATIONAt least a Diploma in any discipline
EXPERIENCEAt least 5 years of experience working as a Confidential Secretary / Assistant. Relevant experienced gained assisting the HR department (2 – 3 years) would be a plus.
