Roles & Responsibilities

We are seeking a highly motivated and skilled HR & Admin Executive to join our team. This position provides end-to-end administrative support to the General Manager in managing day-to-day HR operations, maintaining employee records, coordinating recruitment and onboarding processes, managing employee benefits, and ensuring compliance with labour laws and regulations. The HR and Admin Executive will also assist in various administrative tasks to ensure smooth office operations.

Recruitment and Selection:

Coordinate and execute recruitment process, including job posting, screening resumes, scheduling interviews, and conducting reference checks. Coordinate and liaise with candidates, hiring managers, and recruitment agencies to ensure a smooth hiring process. Assist in drafting and updating job descriptions and specifications. Support the coordination of interviews, assessments, and pre-employment checks. Maintain the applicant tracking system and ensure accurate and up-to-date recruitment records. Manage onboarding and offboarding process. Follow up and process all types of work passes, updates of OFWAS and ensure housing meets MOM requirements.

Training and Development:

Source for relevant courses, co-ordinate training registration and payment. Maintain training records and evaluate training effectiveness.

HR Operations:

Administer and maintain accurate employee records, including personal details, attendance, leaves, and performance evaluations. Prepare HR-related documents, such as employment contracts, offer letters, and termination letters. Coordinate and conduct new employee onboarding and orientation programs. Assist in managing employee benefits, including insurance coverage, leaves, and claims. Support the implementation and administration of HR policies and procedures. Calculate the monthly overtime for assist in payroll processing. In-charge of ISO Audit for Training. Liaison with government bodies with regards to MOM survey, MON OED, MOM i-Report, MOM visit, JTC visit and etc. Co-ordinate for all insurances renewal and changes on company needs in a timely and adequate manner. Responsible for co-ordinating WP, SP, EP on renewal and new applications with sponsoring shipyard. Support Operations and Sales departments in applying for work-related access pass, other passes with shipyards, Visa application, etc Provide assistance to employees on human resource policies and other HR matters.

Administration:

Perform general administrative tasks, such as stationery, office equipment, company handphone, aircon repair and maintenance, Copier machine, SECOM access card, wood waste, metal scrap, noise monitoring test and etc. Support the coordination of company events and meetings. Manage the season parking, access card, vehicle road tax and etc. Carry out any other duties as and when assigned by the immediate supervisor or higher management.

Requirements:

Possess at least Diploma in HR/Business Management or equivalent qualification. Prior experience in HR and administrative roles. Strong knowledge of Singapore labour laws and regulations. Excellent interpersonal and communication skills. Ability to handle confidential information with discretion and maintain a high level of integrity. Proficiency in Microsoft Office applications. Experience with the TimeSoft system and payroll processing is an advantage. Detail-oriented with strong organizational and time management skills. Proactive and able to work independently as well as part of a team. Take responsibility for and ownership of assigned job scopes.
