Roles & Responsibilities

PURPOSE OF THE ROLE

The purpose of the CEO Office Manager is to be the partner to the President and CEO - APAC, supporting, guiding and executing on operational, research and strategic tasks within the APAC organization.


RESPONSIBILITIES


Report/Presentation & Support

  • Prepare various regular and ad hoc reports and presentations & creates, edits and distributes communications on behalf of the President and CEO as required
  • Produce well written and visually appealing documentation, memos and business letters both confidential and regular, supplement with tables, graphs, charts and infographics when needed
  • Conserves the President and CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications & anticipate issues and initiate appropriate action to ensure the most effective use of the President’s time

Communications

  • Develop, maintain and execute the communications strategy, plans and calendar for the organization, including key messaging, communication channels, timing and tactics
  • Create and deliver communications content, including email updates, newsletters, intranet communications, social media, videos, and presentations
  • Work with key stakeholders to ensure all communication is clear and consistent with the company’s goals and values
  • Monitor and measure the effectiveness of communications, and make recommendations for improvements
  • Conduct research and prepare materials for President and CEO’s speaking engagement
  • Liaise with Global Corporate Communication team on industry communication initiatives and strategies; coordinate with APAC Managing Directors to plan out press release and create storyline

Event/Meeting Planning & Support

  • Represents President by attending meetings in the President’s absence; speaking on behalf of the President on issues relating to the organization according to the President’s instructions. Support with all administrative tasks.
  • Leads or assists in planning and overseeing various events and receptions, meeting space for the President and provides details as needed.

Global HQ Coordination and ESG

  • Acting as a liaison between the President and CEO APAC, Head office (Switzerland) and Global teams across the globe. This also includes external parties within and in airport locations across APAC.
  • Liaise with Global ESG team on ESG initiatives and strategies; coordinate with APAC Country GMs to advocate and champion ESG efforts, and report on KPIs regularly to track progress and recommend improvements

WHAT WE ARE LOOKING FOR

  • Min 10 years of experience supporting at an executive level in a complex business environment, preferably in a multinational organization
  • Demonstrated ability to be proactive in anticipating the President and CEO’s future needs
  • High level of drive and energy, doesn’t shy away from taking initiatives
  • Strong customer focused mindset
  • Strong knowledge of MS Office (Outlook, Word, Excel, PowerPoint)
  • Strong and effective communication and presentation skills both oral and written to reflect corporate image
  • Experience in report and presentation preparation
  • High level of judgment and familiar with business etiquette best practices
  • Excellent organizational, interpersonal and networking skills
  • High level of professionalism and integrity; ability to deal with highly confidential information
  • Curious to learn, flexible and adaptable attitude to constantly changing environment and demand
  • Attention to detail, self-directed, strong tech and social media skills, collaborative team player
